Another factor that can have a major effect on employees is lighting. A flickering, buzzing fluorescent light can give people headaches and makes it hard to see. Instead of using these old fashioned lights, opt for the new eco friendly bulbs that make it easy to keep electric bills under control, while still providing adequate light that feels like the regular tungsten bulbs. The heavy-duty, mechanical assist design can move ranges up to 30 feet.

The nature of working has changed drastically over the past 5,000 years. While most labor was once more physical in nature, today we live in a multi-tasking technological wonder world full of cubicle farms that we inhabit. While a good chair and desk were all anyone needed, today with computers there is immense stress on the back and shoulders, as well as eye strain. All of these things effect how good we are at our jobs and influence the end product immensely. Buying office furniture with an eye on both aesthetics and health, through the science of ergonomics, will benefit your business and its employees.

Ergonomics became a buzz word in the nineties, but has been in existence since as far back as Ancient Greece. Namesake of the hippocratic oath – Hippocrates extolled the virtues of a properly organized work place and instrument layout for use by surgeons of the day.

Making a workplace fit with and work for a worker is what ergonomics is essentially all about and is more important than ever in helping to prevent the repetitive stress injuries that have become more and more commonplace in computer related industries. These injuries can pose the possibility of long term disability resulting in high worker’s compensation cost.

How do you assess what a worker needs? Well, looking at the size and position of components they work with is the place to start. The decrease of stress on a worker is even part of the manifesto of the Occupation Health and Safety Administration who takes this problem seriously. Working through a combination of guidelines, committees, outreach, and enforcement OSHA is able to prevent musculoskeletal problems from developing.

A reactive or proactive approach is up to the business at hand. However, being reactive and only taking care of problems as they arise is what contributes to millions upon millions of dollars toward worker’s compensation. A proactive approach stressing the prevention of problems isn’t difficult and, in fact, can be mostly accomplished through the purchasing of the right office furniture.

Many people suffer from back problems and although standing at work would help in easing back pressure, that is not an option for many and as such the bulk of a person’s body weight is brought down onto the seat as well as the backrest, armrest, and floor. Redesigned chairs to redistribute body weight will ease pain on the back by taking pressure away from spinal discs.

An office chair with a backwards incline and support for the lower back can alleviate some of a worker’s pain, as can a kneeling chair which lowers the body’s angle.

An even more elemental place to change design would be with the computer itself. Fixing monitor glare with a screen, buying ergonomically designed keyboards that separate characters to ease wrist stress are simple solutions.

Height variable desks can also be a god send to a worker’s back. Being able to raise a desk so that a worker can stand for an hour or two a day would contribute to both weight loss and alleviating back pain.

Purchasing office furniture should be a marriage of form and function. Bringing in design with ergonomic elements will increase productivity and decrease absenteeism.

Office furniture requires more thought that the furniture we populate our homes with. Where a comfortable and soft chair would be perfect in your living room, it wouldn’t work in the confines of an office where workers sit for hours a day. Doing your homework and bringing functional elements into the workplace will increase productivity.

I know things are tight right now and we’re all trying to save a dollar here and there. I’m all for it. We’ve started a policy of reusing the backside of the paper from our printer. Let’s face it, if no one else is going to see it, why shouldn’t we? I know it makes my daughter happy we’re not responsible for cutting down another tree. We like to think we’re doing our part to keep Green!

Let me get back to the pitfalls of purchasing used furniture and in our case used systems. Recently we were involved in helping a long time, client move some. Our Client had recently purchased a company and was in the process of absorbing their personnel and furniture. It appeared to be a win/win situation. Where anyone who wanted to keep their position, could move across the river and would remain, gainfully employed by a class company with good benefits and deep pockets. The problems arose when our client presented me with an invoice from a used furniture company dated a couple of years ago for 12 cubicles but was only going to get 6 cubicles in the deal.

For our reader’s knowledge, you can gain a wealth of knowledge about a panel by just lifting the top cap and looking for an info sticker. So I did and to my disappointment, found out the system was refurbished. The original parts were over 13 year old! Since the cubicles were occupied, I took an inventory, most visual, and did not climb under them to inspect the parts. After 27 years I can still learn a lesson.

Eventually the system came down quickly and before I knew it, was in our truck taking it to their new home. The new space wasn’t ready yet and before the walls went up, I would be invited back to make my recommendations. Everyone deserves a way to get to the bathroom when this was accomplished, it was realized that the cluster would need to be separated into a 2 & a 4. No problem I told myself. That is when all Hell broke loose.

First, the worksurfaces were from a different system, the panels/overheads were 13 years. The good news was the electric was the original…13 years old! Now, there’s nothing wrong with 13 year old electric, if it was purchased from a proper manufacturer, they are meant to last many years past 13. But did you ever try and go out source 13 year old parts to make it work? Believe me it is not fun. Through our contacts and wonderfully imaginative, installers we got this one done. I have posted some pictures below on what we went through. The client was very happy and told us that when the next door tenant moves out they are going to take down the wall, he wants 6 more to attach to his 6.

That is when I told him he could have gotten 6 new cubicles for less if he came to us first. Free is always Free until you try to rework it or have to add on to it. I have had a fairly successful career in Office Furniture over the past 27 years, the last 24 as the owner of my own business. If you have read my cover sheet, I have completed projects ranging from the World’s largest continuous Trading Floor for Morgan Stanley & Co, to a corporate Fitness Center to Home Box Office and a Computer Lab for Pfizer Pharmaceuticals and just about everything in between.

If you are a fan of this site, you have seen the many improvements and upgrades we have made to our website. It is our hope that when our economy emerges from the current recession, many of my competitors will have failed. And those companies either formed during the recession or ramping up after; will be looking for someone like us to assist them.

During those 27 years I have never done any Government business. When I refer to Government business that is everything from GSA for Federal programs, all the way down to local municipalities; purchasing through a State buying contract. The main reason for our shunning this kind of business quite frankly was the very low profit on the effort put forth.

Well this Summer I was contact by a school on the West Side of Manhattan looking to rework their conference room into a Resource Center. Not to drop any names but you can already see I shamelessly do, they are associated with John Jay College. So I make the trek into the City and meet with them for 90 minutes. I explain to them that “our advice is free!” No believers there.

To make a long story short, we made the delivery on Election Day, saving them an overtime delivery charge. They ordered two 10’ tables and 24 chairs, spending way more than they had planned or budgeted. When it was completed, The Director peeled off $30 and gave a ten to each of my installers and tried to slip one into my hand. I tried to explain, “I’m the owner, I don’t get tipped.” I was told to please keep it because they knew I was not going to be fully compensated for the time and effort I had put forth and they wanted me to know how much they appreciated what I had done.

This was the second time I had been “tipped” since I waited tables in College. I haven’t been paid yet through the State program; I hope the ten dollars does not represent 15% of what I earned. Hey if you are a government or municipality buyer and you need some help, give me a call. It is like buying a Saturn, there is no quibbling about pricing for you at The Irishmen on the Hudson!

Now I know a lot of kids on my block that are thrilled with the possibilities of an extra hour of stick ball or hide and seek! Most of us will appreciate more daylight so we can see our way in your Village Parking lot to find your Minivan before the ride home. Then there are those of us who are still stuck at the office, wondering where did that guy go who just turns off your part of the office lights?

Ever hear of a task light? Sounds pretty easy “task” “lighting”. I am sure you can figure out the definition but having a light tucked away under an overhead or shelf in your cubicle can change night into day. Can you believe it, they make task lights in increments of six inches starting with a tiny 24”er all the way to 60”. These task light manufacturers even have gotten to the place where they even make the correct rails or connectors to get them to work seamless with your system’s overhead storage.

We specify and install these task lights under overhead storage cabinets and when strategically placed we are able to light up your work surfaces, taking the strain off your eyes. This one small upgrade can offer each worker the luxury of working past the point when the Sun goes down and encourages them to take a stab at finishing that report that is due on Monday before the weekend kicks in.

So for a couple of hundred dollars, your boss can change night into day and allow you to work those extra hours we all need to do in this recession. We are all working short handed these days and if we can make time to put in a couple of extra hours one day a week, come Friday, we can all go home knowing we got more done this week than ever before. Could it have been the task lights, I don’t know but I sell office furniture so I am going to say “Yes!”

Remember when you got your new desk delivered and how beautiful and shinny it was? Yeah you might have paid more than you thought you should but look at it! Ok, the guys have left and you are starting to hook up your computer and you are faced with the daunting question, “what do I do with these ugly wires?”

This is when you wish you knew the benefits of a simple black hole known as a Grommet, no I did not say Hobbit, a Grommet! You uncrate that big, beautiful, flat screen. What do you do with those thick black wires lying over the side of your desk? If your desk had a grommet those wires would just disappears down “the hole”. The same can be done with those skinny wires that communicate your keyboard & mouse strokes to your CPU? Down the Hole! And finally what are you going to do with those skinny wires that bring your music to the desktop every morning with your first cup of coffee? Yep, that little black hole!

What a wonderful invention and when it is done with planning and correct placement, we can help you reach furniture Nirvana. I won’t sell a desk or a workstation without one.

One of the biggest mistakes you can make when purchasing your office furniture is first, not purchasing it from Us! But hopefully we have gotten past that roadblock. The second mistake I have witnessed and I hear about it more often than I would like to admit, is thinking you can save a few bucks by putting your office furniture together yourself.

There are a couple of illustrations I would like you to consider. More and more products are being packaged and shipped in a K/D form. K/D is short for knock down. Part of the cost on every piece of office furniture you buy has some kind of freight on it. That is a truck, a driver & diesel. So the more “offices” we can get on a truck, the cheaper the cost to you. Certain things like pedestals, hutches and wardrobe cabinets ship set up but more and more come in flat boxes!

So lets see, now you have gotten it from your minivan and into the freight elevator and now you have dragged it to the area you are going to “install” your desk. Which part is the top? Nope that looks like the modesty panel? The manufacturers we use have gone to a European Cam Lock system (ECL) for safety and strength. I have been in the business for over 25 years and I would not try to do what my guys do. Which Phillips head screw bit should be used? You know if you use the wrong one you could strip the screw head and most office furniture does not ship with extra parts!

Most of the entrepreneurs I know do not get a chance to stop and think about the office furniture they will need and for how many employees until the end of the day or on weekends. Think about how much you make or bill for every hour you work. OK you are not going to close down the offices to do the work, are you? So the time you usually put aside to go to the ballgame or play with the kids on the weekend, you’re spending it at the office working harder than ever to save a couple of hundred dollars. Did I mention the Million dollar insurance policy your landlord might want for you to have in case you break one of his water pipes!

These guys are professional installers, they build it right the first time, and every time and they are most definitely worth a couple of hundred dollars so you can take your wife and kids to the Park. Enjoy, that is why You work so hard during the week!

I have this direct marketing company for a client and they are a great success story. The owner started the company in his garage and it grew from there into over 100 full time employees. Part of our job was to create a work environment that made their employees happy to come to work and be proud of where they spend it.

If I had a buck for every time I’ve heard someone ask me “you know I was at one of those Super Stores this weekend and I saw this really nice chair for $69, do you have anything cheaper?” Yeah, how about sitting on a milk crate?

I was reading my November issue of Consumers Reports and am a regular reader of their safety alerts. What do I find? “Office chairs break, causing falls.” It seems one of those Super Stores “is recalling about 216,000 of their chairs because the back and base post could break, causing the user to fall and suffer an injury. The company, working with the Consumer Product Safety Commission, says it has received 35 reports of such incidents, which resulted in 15 cases of injury, including cuts, bruises and concussions.

The recall involves two task chairs. They were sold at the company’s stores nationwide and on its Web site, in catalogs, and through direct sales to businesses from September 2003 to July 2008 for under $65!

People, we’re talking about something you are intimately involved with for over 8 hours a day. You are worth it. Spend a couple of hundred dollars once on yourself, your head and back will love you for it!

As you start thinking about putting together your new office, it is important to consider how much space you have and how much each worker will need to complete their daily assignments successfully. After that square footage has been determined, it would be a good idea to figure out which of your existing furniture is worth keeping.

Unless a desk chair is under two years old, you should probably get rid of it. Buying a quality office chair may be one of the smartest investments you will make! Your ROI will far outweigh your investment.

What was once an 8 hour workday is now becoming more like a 10 hour workday! How many hours are you at your desk, sitting in your chair? Do you get to spend that kind of time in bed? How much is a good night sleep worth and could you see spending $300 on a bed? Of course not! Like it or not, whatever you’re sitting in or sleeping on has a measurable impact on your work experience.

A really good quality office chair can last you up to ten years & is an investment worth every penny.

If you want to optimize the productivity of your employees, don’t take for granted the importance of matching the right chair to the right person. If your employees are comfortable, they will enjoy what they are doing more and therefore become more productive at work.
